Between JC Abacus, which runs this portal, and you, who sign into it. Short, and worth reading once.

1What this portal is
The JC Abacus portal is how accounting work is requested, tracked and returned between a JC & Associates office and the JC Abacus delivery team. It is the means of carrying out an engagement; it is not the engagement. Your firm’s agreement with its own client, and its agreement with JC & Associates, are separate documents and this one does not change either.
2Your account is yours
Accounts are issued to a named person by JC Abacus. Do not share yours, and do not let someone else work under it — the portal records who opened which job and who downloaded which file, and that record is only worth something if the name on it is right.
If you no longer need access, or someone in your firm leaves, tell us so the account can be closed.
3Do not attach identifying numbers
Social security, resident registration, taxpayer identification and similar numbers do not belong in portal attachments. Keep those documents in your own system and send a link instead.
Before a file uploads you are asked to confirm it carries none. That confirmation is recorded against your name, so please read it rather than clicking past it. The portal also warns when a file name suggests otherwise — it reads the name only, and cannot see inside the file.
4Where the work is done
Work is carried out by the JC Abacus team in Vietnam, on a system whose database and file storage are in Singapore. Whether that requires a consent from your own client — and for US tax work under IRC §7216 it does — is your firm’s responsibility, and obtaining it is not something this portal does or can do on your behalf.
5How long files stay
- After a job is delivered, your firm can download its attachments for 30 days.
- The JC Abacus delivery team can download them for 7 days after delivery, and no longer.
- At the end of the 30 days the portal copy goes and the files remain only in the JC & Associates archive, which the delivery team cannot reach. Ask your JC contact if you need one after that.
Download what you need to keep. The portal is a working system, not your firm’s records.
6What is recorded
Sign-ins, job activity, and every view and download — including refused ones — are recorded, and those records cannot be edited or removed from inside the portal by anyone, including an administrator. What is held and for how long is set out in the privacy notice.
7Availability
The portal is maintained actively and will occasionally be unavailable. Nothing here promises a level of availability, and deadlines agreed on a job are not conditioned on the portal. If you cannot reach it and something is urgent, contact your JC & Associates counterpart directly rather than waiting.
8Changes
These terms have a version, shown below. If they change materially you will be asked to accept the new version — there is no clause here that lets them change quietly underneath you.
